The Client
Through its subsidiaries, this integrated energy company is engaged in the exploration for and production of oil and natural gas; the acquisition of producing oil and natural gas properties; the contract drilling of onshore oil and natural gas wells; and the gathering and processing of natural gas. Operations are principally located in the Mid-Continent region.
The Problem
The company’s legal department could not locate business records and related corporate documents in a timely fashion. In order to meet legal’s business needs, the company needed to manage documents more effectively in all areas of the business and across common business functions. The company envisioned an enterprise content management (ECM) and collaboration system that could manage its electronic information, making it readily available to legal staff.
After evaluating various ECM software applications, the company selected Open Text’s Livelink enterprise content management (ECM) application suite. Key factors in the selection of Livelink as its ECM system included compatibility with the company’s current information technology base, Livelink’s capacity for growth beyond the initial requirements of the legal department, its ease of use, and the ability of the corporate IT staff to support the platform going forward.
The Solution
Stonebridge worked with representatives from each major functional group within legal to identify system requirements, including defining functional needs and mapping how the documents would be stored in the system. With these requirements in mind, Stonebridge installed and configured the Livelink application suite both as the department’s core document management system and collaboration system, but also as the group’s back-end records management system.
Included in the initial deployment were additional document types from the risk management, safety, and human resources departments. Finally, Stonebridge provided training and mentoring of departmental users in legal on the practical use of the system, including document creation, application of metadata / attributes, and enterprise search.
The Benefits
Legal staffers now can effectively search for and quickly locate documents required by their functional roles and responsibilities, including full compliance with e-discovery motions. Additionally, the ECM system provides document versioning, audit history, and high-end security for sensitive corporate records.
